HR Assistant / HR Coordinator (Entry–Mid Level)

Job Summary:
We are seeking a motivated and detail-oriented HR Assistant / HR Coordinator to support our Human Resources department. This role is ideal for an entry- to mid-level HR professional who enjoys working with people, thrives in a fast-paced environment, and wants hands-on exposure to recruiting, onboarding, employee relations, culture, and HR compliance.
This position focuses on execution and support of established HR processes while partnering closely with leadership to ensure a positive employee experience.
Responsibilities:
Recruiting & Hiring:
- Post and manage job openings on job boards and internal platforms.
- Screen resumes and conduct initial phone screens as needed.
- Coordinate interview scheduling and candidate communications.
- Track candidates through the hiring process.
- Complete offer letters and pre-employment requirements.
Onboarding & Offboarding:
- Prepare onboarding packets and new hire documentation.
- Coordinate orientations and first-day logistics.
- Track onboarding milestones and required trainings.
- Manage offboarding checklists, exit interviews, and documentation.
HR Compliance & Administration:
- Maintain accurate employee personnel files (digital and physical).
- Track I-9s, licenses, certifications, and mandatory trainings.
- Assist with audits and HR documentation requests.
- Support compliance with state and federal labor laws.
- Update HR policies and procedures as directed.
Employee Relations Support:
- Serve as a first point of contact for basic HR questions.
- Escalate sensitive employee matters to HR leadership.
- Assist with documentation related to performance, attendance, and corrective actions.
Culture & Engagement:
- Coordinate employee recognition, events, and celebrations.
- Support employee engagement initiatives and surveys.
- Assist with internal HR communications and announcements.
- Help reinforce company values and culture initiatives.
HR Systems & Reporting:
- Maintain HR trackers, reports, and dashboards.
- Assist with payroll inputs, PTO tracking, and timekeeping audits.
- Support benefits enrollment tracking and employee communications.
General HR Support:
- Assist with HR projects and process improvements.
- Handle confidential information with professionalism and discretion.
- Perform additional HR and administrative duties as assigned.
Requirements:
- 0–3 years of experience in HR, recruiting, or administrative support.
- Bachelor’s degree in Human Resources, Business, Psychology, or related field preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- High attention to detail and follow-through.
- Ability to handle confidential information with discretion.
- Proficient with Microsoft Office and/or Google Workspace.
- Comfortable working in a fast-paced, team-oriented environment.
Preferred Qualifications:
- Experience with applicant tracking systems (ATS).
- Familiarity with HR compliance documentation.
- Interest in long-term growth within Human Resources.
